TERMS AND CONDITIONS
These Terms and Condi.ons (“Terms”) govern the rela.onship between Hinterlands Explorers
(“the Company,” “we,” “our,” or “us”) and any person or en.ty (“the Client,” “you,” or “your”)
who books, purchases, or par.cipates in any tour, ac.vity, or service offered by the Company.
By booking or par.cipa.ng in any of our services, you acknowledge that you have read,
understood, and agree to be legally bound by these Terms.
1. BOOKINGS AND PAYMENTS
All bookings must be made through our official website through an email where by we will
provide you with a detailed i.nerary with prices.
A deposit of 30% is required in order to confirm the booking. Payments can be made by bank
wire/transfer, debit or credit card as well as other direct card payments. ALer clients accept a
proposal, they receive an invoice with all details. We require a 30% deposit payment of the
i.nerary cost and 100% payment if the booking was made within 61 days prior to departure.
We cannot guarantee a booking if a deposit or a full amount is delayed.
The remaining balance of the total cost must be paid in full no later than 60 days prior to the
scheduled departure date. If full payment is not received by the due date, the Company
reserves the right to cancel the booking without no.ce, and any deposit paid will be forfeited.
2. CANCELLATIONS AND REFUNDS
All cancella.on requests must be submiQed to the Company in wri.ng (email is acceptable).
Cancella.on charges will apply as follows unless otherwise specified in wri.ng:
• From the date of confirma.on to 60 days befor departure: 30% of the invoice amount.
• 59 to 45 days prior to departure: 50% of the invoice amount.
• 44 to 0 days or NO SHOW: 100% of the invoice amount.
Notwithstanding the above, if we have issued your domes.c airline .ckets and you choose at
any .me to cancel them then we will not refund you any monies for these .ckets.
If the Company cancels a tour for any reason other than force majeure (see Clause 9), the
Client will be offered a full refund or the op.on to reschedule to a later date.
3. AMENDMENTS TO BOOKINGS
The Company will endeavor to accommodate reasonable requests to amend bookings, subject
to availability.
Any amendments made less than 14 days before the departure date may be subject to
addi.onal fees, which will be communicated in advance.
Subs.tu.on of one traveler for another may be permiQed at the Company’s discre.on,
provided sufficient no.ce is given and all legal and prac.cal requirements are met.
4. CLIENT RESPONSIBILITIES
The Client is responsible for ensuring that all personal travel documents (passports, visas,
permits, etc.) are valid and in order. Please verify with Immigra.on Services, Embassy, the
regula.ons regarding passports, visas, and vaccina.ons prior to your departure. Hinterlands
Explorers cannot be held liable for any impediment suffered by a traveller as a result of failure
to possess proper and complete travel documents or costs involved with obtaining them.The Client must disclose any relevant medical condi.ons, disabili.es, or dietary requirements
at the .me of booking.
The Client agrees to comply with all safety instruc.ons, regula.ons, and lawful direc.ons
issued by the Company .
The Client agrees to conduct themselves in a respec_ul manner towards other par.cipants,
staff, and local communi.es.
5. HEALTH AND FITNESS
Par.cipa.on in our tours may require a reasonable level of physical fitness. The Company
reserves the right to refuse par.cipa.on to any Client who, in its sole opinion, is unfit for the
tour or whose par.cipa.on may endanger themselves or others. The Client acknowledges
that they par.cipate at their own risk and should seek appropriate medical advice prior to
travel.
6. TRAVEL INSURANCE
The Company strongly advises all Clients to obtain comprehensive travel insurance prior to
departure. Such insurance should cover personal injury, medical expenses, loss or damage to
personal property, trip cancella.on, and any other relevant risks. The Company shall not be
liable for any costs, damages, or losses incurred due to the Client’s failure to obtain adequate
insurance coverage.
7. ITINERARY CHANGES
The Company reserves the right to alter i.neraries, transporta.on, accommoda.ons, or
ac.vi.es at its sole discre.on if circumstances require. Such changes may be due to weather,
safety concerns, governmental restric.ons, or any other event beyond the Company’s
reasonable control. The Company will make reasonable efforts to provide services of equal or
greater value where possible.
8. LIABILITY AND LIMITATION OF LIABILITY
The Company shall not be held liable for any injury, illness, loss, damage, delay, inconvenience,
or expense caused by third par.es, force majeure events, or circumstances beyond its control.
By joining any tour or ac.vity with Hinterlands Explorers, you understand and accept that
travel can involve certain risks. These may include things like wild animal encounters, extreme
weather, rough terrain, illness (including diseases such as malaria), safety issues with local
transport, theL, or other unexpected situa.ons. Standards of healthcare, accommoda.on,
transport, and hygiene in some des.na.ons may also be lower than what you are used to at
home.
We will make every reasonable effort to give you guidance about local condi.ons, safety,
health requirements, cultural customs, and applicable laws before and during your trip.
You agree to take sensible precau.ons to protect your own safety, such as using provided
safety gear (seatbelts, helmets, harnesses) and following all safety instruc.ons from our
guides or service providers. Hinterlands Explorers cannot be held responsible for any harm or
loss that results from not following safety advice or instruc.ons.9. FORCE MAJEURE
The Company shall not be liable or deemed to be in default for any delay or failure in
performance resul.ng directly or indirectly from acts of God, natural disasters, pandemics,
government ac.ons, labor disputes, civil unrest, terrorism, or any other event beyond the
Company’s reasonable control.
10. PERSONAL PROPERTY
The Company accepts no responsibility for loss of, or damage to, personal belongings brought
on the tour. Clients are advised to keep valuables secure and carry insurance for their personal
property.
11. PHOTOGRAPHY AND MEDIA
The Client consents to the use of photographs or video taken during the tour for promo.onal
and marke.ng purposes by the Company. Clients who do not wish to be photographed or
filmed must inform the Company in wri.ng before the tour begins.
12. PRIVACY POLICY
The Company collects and uses personal data only for the purposes of processing bookings
and delivering services. Personal informa.on will not be shared with third par.es except
where necessary to provide services or as required by law. The Company will handle all
personal data in accordance with applicable data protec.on laws.
13. GOVERNING LAW AND JURISDICTION
These Terms shall be governed by and construed in accordance with the laws of Tanzania. Any
disputes arising out of or rela.ng to these Terms shall be subject to the exclusive jurisdic.on
of the courts of Tanzania.
14. MODIFICATION OF OUR TERMS & CONDITIONS
We reserve the right to modify and/or update our terms and condi.ons at any .me. Any
changes will be effec.ve immediately upon pos.ng them on our website. By con.nuing to use
our website aLer such changes, you agree to be bound by the modified terms. If we revise our
terms and condi.ons, our clients who have already made a booking will receive an email
about this.
AGREEMENT
By booking with Hinterlands Explorers, the Client confirms that they have read, understood,
and agree to abide by these Terms and Condi.ons.
